About the Role

Total Wine & More is seeking a Staff Accountant II, Merchandise Accounting to join our Merchandising Accounting team in our Bethesda, MD office. In this role, you will review invoices for accuracy and proper coding and enter them into an automated accounting system for payment processing. You will manage the Accounts Payable Help Desk inbox, responding to vendor inquiries or directing them to appropriate team members. You will also review vendor statements, resolve payment discrepancies, and monitor inventory-related issues submitted through the help desk center. Additional responsibilities include assessing discounts, recording receivables, reconciling accounts, and providing timely updates to business partners regarding collections. This position requires a solid understanding of accounting principles and reports directly to the Manager of Merchandise Accounting. 

You will

  • Invoice and Purchase Order Management Review store invoices and purchase orders for completeness, accuracy, and compliance with company standards; upload and process invoices using Access, Excel, and Lawson Accounts Payable.
  • Payment Processing and Documentation Prepare invoice batches for supervisor review, ensure proper coding, mail check payments, and file paid invoices while maintaining accurate records.
  • Vendor and Internal Communication Follow up with vendors, store managers, and employees to resolve discrepancies and open issues; handle Accounts Payable Help Desk inquiries within established timelines.
  • Reconciliation and Research Review vendor statements for omissions and exceptions; research payment history and outstanding checks to ensure resolution and accuracy.
  • Reporting and Month-End Tasks Maintain documentation of receivables and prepare month-end schedules to support financial reporting and reconciliation.
  • Activity Logging and Compliance Log AP activities and exceptions, ensuring all processes adhere to company policies and audit requirements.

You will come with

  • Bachelor's Degree or Associates Degree in Finance, Accounting or a related field preferred or equivalent years of experience
  • 1-4 years in Finance, Accounting or a related field preferred
  • Knowledge of basic accounting principles
  • Ability to multitask and meet deadlines
  • Proficient mathematical skills
  • Strong attention to detail
  • Working knowledge and proficiency in MS Excel and Word
  • Knowledge of Lawson or other automated A/P systems, is preferred
  • Ability to maintain confidentiality
  • Strong verbal and written communication skills required
